1. Introduction
This policy outlines our commitment to identifying, supporting, and protecting vulnerable persons who interact with our organisation. We recognise that vulnerable individuals may face additional challenges and risks, and we are dedicated to treating all individuals with dignity, respect, and care.
2. Scope
This policy applies to all employees, contractors, volunteers, and anyone acting on behalf of the organisation. It covers all interactions with vulnerable persons in the course of providing services, support, or communication.
3. Definition of a Vulnerable Person
A vulnerable person is someone who, due to their personal circumstances, may be at a greater risk of harm, exploitation, or disadvantage. This may include, but is not limited to:
Elderly individuals.
People with physical or mental disabilities.
Those experiencing financial difficulties or hardship.
Individuals with language barriers or limited understanding.
Persons under the age of 18.
People experiencing emotional distress, abuse, or trauma.
4. Principles
We are committed to ensuring that vulnerable persons are treated fairly, respectfully, and without discrimination. Our principles include:
Safeguarding: Prioritising the safety and well-being of vulnerable individuals.
Empathy: Engaging with care and understanding to address their specific needs.

5. Identifying Vulnerability
Our team members are trained to identify signs of vulnerability, including:
Difficulty understanding or processing information.
Signs of distress, confusion, or anxiety.
Repeated requests for help or support.
Financial difficulty or inability to manage funds.
Signs of neglect, abuse, or exploitation.
6. Supporting Vulnerable Persons
To support vulnerable individuals, we will:
Provide clear, simple, and jargon-free communication.
Offer additional assistance or adjustments where necessary.
Direct them to relevant services, such as support organisations or helplines.
Act swiftly if we believe a vulnerable person is at risk of harm.
Treat all concerns seriously and escalate them to the appropriate authorities when required.
7. Staff Training
We will provide regular training to ensure that all employees and representatives:
Understand the definition of vulnerability and how to identify it.
Are aware of their responsibilities under this policy.
Know how to respond appropriately to vulnerable individuals.
Follow the organisation’s procedures for reporting concerns.
8. Reporting Concerns
If a team member identifies a vulnerable person who appears to be at risk, they must report their concerns immediately to their line manager or the designated safeguarding officer. In cases of immediate danger, the appropriate authorities, such as the police or social services, must be contacted without delay.
9. Monitoring and Review
This policy will be reviewed annually or sooner if there are significant changes in legislation, guidance, or organisational practices. Feedback from employees, stakeholders, and service users will be considered during the review process.
10. Compliance
Failure to adhere to this policy may result in disciplinary action and, where necessary, involvement from external regulatory bodies.
